A review is a fixed set of item versions that a group of participants reads and gives feedback on. Each participant marks every item as Approved, Needs work or Rejected, and can comment on the text. Because the review pins item versions, feedback always refers to what the reviewer actually saw, even if the live items change afterwards.
To see all reviews, open Reviews under Manage in the left sidebar. The list shows each review's ID, name, revision, state (Open, Closed or Archived), reviewer progress, due date and dates. Use the filter button to include archived reviews and the search box to find one by name. The sidebar tree lists open reviews under Assigned to me and Other reviews.
Creating a review
The usual starting point is a baseline. Open the baseline and click Send to review, or choose Start review from the baseline's actions menu. You can also start from items: open an item's sidebar, go to the Reviews tab and click +. Type a title under New review, or pick Add to existing review to add the item to an ongoing review as a new revision. If the item has children, you are asked whether to Review all or only the selected item.
Fill in the Create a review form:
Name and a Due date. Both are required, and the due date cannot be in the past.
Items lists what will be reviewed, with the pinned version of each item. You can remove items here.
Participants. You are added as a required participant. Add colleagues with the user selector, then click the icon next to a name to switch between required and optional. Required participants must give feedback; optional participants may.
AI reviewer. Turn on Enable AI reviewer to have the AI pre-evaluate every item and post suggestions. Add AI instructions to tell it what to focus on. This needs a default AI model set by an org admin.
Settings. Publicly visible lets team members who are not participants open the review. It must be on when the AI reviewer is enabled.
Click Start review. Participants find the review under Assigned to me.
Reviewing items
Open the review. Items appear in a read-only document view, with a table view and a stats view available from the view switcher in the header.
To give feedback, use the three buttons beside an item: Approve, Needs work or Reject. Approving takes an optional comment. Needs work and Reject require one. Your feedback appears as a tag on the item. Hover it to see your comment, change your decision, or open Participants review to see what others said. Small colored dots next to the tag show other participants' feedback at a glance.
To comment on a specific passage, select the text and click Comment. Comments made in a review are attached to the reviewed version of the item.
To give the same feedback to several items, tick their checkboxes and use the Review button in the selection bar. In the table view, the Review column holds your feedback and Review status shows the count of each decision.
When you have covered the items you care about, click Finish my review. A Review summary lists what you reviewed and what you skipped. Click Finish reviewing to confirm, or Keep reviewing to go back. Skipped items count as reviewed for progress purposes, so you can leave items outside your expertise.
The AI reviewer
If the AI reviewer was enabled, it starts working in the background as soon as the review is created. Its feedback appears as an AI reviewer card at the top of the Review tab in an item's sidebar. It checks clarity, completeness, testability and measurability, missing or invalid traces against your traceability rules, safety concerns, and quality check results. It never approves or rejects; it lists things for you to verify. Click Show Reasoning to open the AI chat with the full log of how it reached its suggestions.
Tracking progress and managing the review
Click Review admin in the header to open the review sidebar. The Review details tab shows the ID, creation date, the Name, Due date (with an overdue tag when passed), the Publicly visible switch, any custom attributes you add with +, and the participants with a progress bar each. Click + next to Participants to add people, or the ... on a participant to see their stats or Remove them.
The Stats view gives the whole picture: Review stats has participant progress, item progress and an item status chart, and Participants stats lists every participant with start and completion dates, comment counts and feedback given.
Revisions
Items keep evolving during a review. When a newer version exists, the item's Reviews tab shows a warning with a Create review revision button. Click Create revision in the review sidebar to do the same for the whole review. A revision takes the latest item versions, keeps feedback on items that did not change, and starts a fresh round for the rest. The Revisions tab lists all revisions, and older ones show a Go to latest revision banner.
Closing a review
Only someone with review update permission can close a review. Click Close review in the review sidebar to open the close page. It summarizes participant progress, unreviewed items, due date and comments, and lists the Reviewed items with their feedback counts. Dropdown attributes in this table are editable: pick a value, for example a status, and it is written to the live item when the review closes.
Click Close review again to see the Review summary. Group by shows items by progress (Completed, In progress, Not started) or by the attribute values you chose. Confirm with Close review. A closed review is locked, and its state changes to Closed in the list. You can still create a revision from it.
Exporting and archiving
Open the review's ... menu in the list, in the sidebar tree, or in the review sidebar header. Export offers Export to .docx and Export to .xlsx, which include every item with its feedback. The export runs in the background and downloads when ready. The same menu has Archive, which hides the review from the list, and Restore for archived ones.
