Frequently asked questions

Short answers to the questions customers ask most: hosting, data export, deleting things, the API, on-premises deployment, beta features and more.

Where is my data hosted?

Trace.Space is offered in two regions: Europe, served from tracespace.app, and North America, served from tracespace.ai. Your organization lives in one of them, and the address you sign in at tells you which. See MCP server setup for the matching API addresses.

Is there an on-premises option?

Yes. Trace.Space can be deployed on your own infrastructure, including firewalled environments, and self-hosted deployments bring their own AI keys through AI Providers. Commercial terms and the installation guide are handled by the Trace.Space team; contact [email protected].

Is there an API?

Yes. The REST API uses OAuth 2.0 client credentials that any member can create under Organization settings > Integrations > API Clients, and the interactive reference is linked from the same page. There is also an MCP server so AI clients such as Cursor or Claude Code can work with your data. See API clients and MCP server setup.

How do I get my data out?

Export any item and its children, a baseline, a review or a saved filter to Word (.docx) or Excel (.xlsx), and items to ReqIF (.reqif) for other requirements tools. For a complete copy, use the REST API. See Exporting items.

Can I undo a delete?

Yes. Deleted items are kept. Open the table view, set the Deleted item filter to show deleted items, tick the ones you want and choose Restore; the same Restore action is in the item's ... menu. Restoring puts the item back under a parent you choose. Saved filters, matrices, analyses, dashboards and API clients are deleted permanently and cannot be restored. Does removing a user delete their content?

No. Users are suspended rather than deleted. A suspended member cannot sign in, but every item, comment, trace and review they created stays exactly where it is, and the account can be unsuspended later. See Managing users.

Can I delete an organization?

Not from the app on the hosted service. On a self-hosted installation a system admin can delete it under System administration. On the hosted service, deleting an organization is done by the Trace.Space team on request from an org admin. Email [email protected] from an admin address and say which organization to delete. Export your data first; deletion is permanent.

What is the difference between a version and a baseline?

Every edit to an item creates a new version of that one item; the version history in the item sidebar lets you view, compare and revert. A baseline is a named set of items, each pinned at a chosen version, so it captures the state of many items at a milestone. Freezing a baseline stops further changes to the set. What does "Beta" mean on a feature?

A Beta tag in the sidebar means the feature is complete enough to use on real data but its behavior and layout may still change, and we are collecting feedback. Nothing you create in a beta feature is thrown away when it leaves beta. The features carrying the tag today are Saved analyses (see Analysis view) and Parameters; each article says so.

Where do I find what changed in each release?

What's new in Trace.Space lists every release and what it changed, newest first. Self-hosted customers receive the full notes, including infrastructure changes, with each update package.

Does the AI see my data, and where does it go?

AI features send the items you are working with to the model your org admin has enabled under AI Providers. Your organization can bring its own API keys so requests go to your own provider account. Usage telemetry keeps counts only; prompt and response content is stripped before it leaves the platform. See AI providers and Working with AI.

Can several people edit the same item at once?

Yes. Text fields are collaborative: you see colleagues' cursors and their changes appear as they type, and each of you can undo your own edits. See Real-time collaboration.

How long does a sign-in last?

Thirty days, on up to five browsers at the same time. A magic link is valid for 30 minutes and works once, in the browser that requested it. See Troubleshooting sign-in and access.

Is there a limit on the number of items?

No fixed limit is enforced in the product. Large item trees load quickly; the one thing that grows with size is how long the import of a big document takes.
