Item actions

Everything in the item ... menu and the bulk Actions bar: copy and paste, trace, baseline, review, change type, export, access control, delete and restore.

Every item has an actions menu. It holds the things you do to an item as a whole rather than to its text: open it elsewhere, copy it, trace it, put it in a baseline or review, change its type, export it, control who can see it, delete it or bring it back. This article describes each action, where to find it and what access it needs. For creating and editing items themselves, see Creating and editing items.

Where the menu is

  • Document view: hover an item and click the ... button that appears on its left.

  • Tree: hover a row in the Items tree and click its ..., or right-click the row.

  • Item details sidebar: click the ... button at the top of the sidebar.

  • Graph view: click a node to open its sidebar, then use the sidebar's ....

  • Several items at once: in document view or table view, tick the checkbox next to each item. A bar appears above the content reading n items selected, with a checkbox to select or clear everything and an Actions button that opens the same menu for the whole selection.

Actions that only make sense for one item, such as Open details or Export, disappear when more than one item is selected. Actions you lack permission for are hidden rather than grayed out.

The ... menu of an item in document view

The Items header in the left sidebar has its own ... menu (right-click works too) for the top level of the tree: New item, Paste, Import (.docx, .reqif, .csv) and Access control. It is only shown if you can edit the top level. The New item and Import buttons at the bottom of the tree do the same two things.

Opening the item elsewhere

  • Open details opens the item details sidebar for the item. Not offered in single item view, where the sidebar is always open.

  • Single item view opens the item on its own page, without its neighbours. See View modes.

  • Show in tree expands the Items tree to the item and flashes its row. Not offered from the tree's own menu.

  • Copy URL copies a link to the item's single item view to your clipboard. With several items selected the entry reads Copy URLs and copies one link per line. Anyone who opens the link needs read access to the item.

These four need only read access.

Copy and paste

Copy remembers the selected items so you can paste duplicates somewhere else. If any selected item has children you are asked Copy parent and child items?: choose Copy parent only or Copy all. A notification confirms what was copied.

Paste appears in any item's menu once something is copied, and in the Items header menu for pasting at the top level. The copies become children of the item whose menu you opened. Hover the info icon next to Paste to see what will be pasted, for example Paste REQ-12 Braking distance and child items?.

The copied set stays available for 60 minutes and only within the organization you copied it from. Copies are new items with new IDs, so they are not traced to the originals.

Trace to

Trace to opens the Create trace window to link the selected items to other items, with one row per trace. It needs edit access to the selected items. See Traceability for the window and the trace kinds.

Baseline and Review

Hover Baseline for a submenu with Add to existing baseline (shown once your organization has at least one baseline) and a New baseline box where you type a name and press Enter. Both open the baseline wizard with the selected items preselected. See Creating baselines.

Hover Review for Add to existing review and a New review box. If the selection has children you are asked whether to include them. See the Reviews article.

Both actions are available to every member.

Change type to

Select two or more items and hover Change type to for a list of item types. Picking one opens the Change item type wizard, which asks you to decide how to map attributes from the original item type to the new type. The wizard has one step per original type in the selection, numbered like 1/2, so a mixed selection is handled type by type. Click Change type to apply. Needs edit access to every selected item.

To change the type of a single item, use the Type dropdown in the item details sidebar instead.

Import and Export

Import (.docx, .reqif, .csv) creates the imported items as children of this item. See Importing documents. Needs edit access.

Export offers Export to .docx, Export to .xlsx and Export to .reqif for the item and everything below it. See Exporting items.

Access control

Access control opens a dialog listing the User groups that have an explicit permission on this item and their Permissions level. Everyone with read access can open it to see who can reach the item. Org admins can change a group's level here, and use the row's ... > Edit to open the group's own page. Levels and inheritance are explained in User groups and access control.

Delete

Delete asks for confirmation before anything happens, and the dialog depends on the selection:

  • A single item without children: Delete item? with a Delete item button.

  • A single item with children: Delete parent and child items? with Delete parent only and Delete all.

  • Several items: Delete items? with Delete selected only and, if any has children, Delete all.

Related traces are deleted with the item. If the deleted item was the one open in the page, you are taken back to the dashboard.

Deleting from the bulk Actions bar in document view or table view only ever deletes the items you ticked. Children that are not ticked, including children hidden by a filter in table view, are never deleted with their parent. This protects you from wiping out a whole branch when a filter shows you only part of it.

Deleting needs edit access to every selected item.

Deleted items and Restore

Deleting does not destroy the item. It gets a red Deleted tag, still opens in document and single item view, and keeps its history. Editing, tracing and most actions are switched off for it; its menu keeps Open details, Copy URL and Restore.

To find deleted items, add the Deleted item filter in table view or in a saved filter and set it to is deleted. is not shows only live items, which is the default, and is or is not shows both. See Table view.

To bring an item back:

  1. Open its ... menu and choose Restore, or hover the Deleted tag and click Restore in the tooltip, which also shows when it was deleted.

  2. In the Restore item dialog, pick a parent under Select new parent item. Items you cannot edit are disabled in the picker.

  3. Click Restore.

Restoring puts the item back into the tree under the parent you chose, so it needs edit access to the deleted item and to the new parent. Several deleted items can be restored together to the same parent; a notification reports how many were restored.

Moving items

There is no Move entry in the menu. Drag an item in the Items tree, or drop a tree item onto the divider between two items in document view. See Using the Tree View. To move an item to a far-away place, Copy, Paste at the destination and Delete the original also works, but the pasted item is a new item with a new ID.
